How to Configure a Holiday Time Frame in the TeleCloud Portal

In this guide, you’ll learn how to create and configure a Holiday Time Frame in your TeleCloud portal.

 

Holiday time frames help your phone system automatically recognize and adjust call routing for holidays, even when they fall on weekends or change dates each year.

Follow the steps below to configure your own holiday time frame:

Step 1: Open the Time Frames Section
- From your TeleCloud portal home screen, click on the Time Frames tile.
- This will display your list of existing time frames.

Step 2: Add a New Time Frame
- Click the red “Add Time Frame” button in the upper right corner of the screen.
- A pop-up window will appear where you can begin your configuration.

Step 3: Name Your Time Frame
- In the pop-up window, enter a descriptive name for your new time frame.
- Example: Holiday Schedule or Christmas

Step 4: Select “Holidays” as the Time Frame Type
- Choose Holidays from the time frame type options.
- Two new tabs will appear. Click on the Holidays tab to continue setup.

Step 5: Confirm the Correct Country
- At the top of the Holidays tab, verify that the correct country is selected.
- This ensures the system references the right holiday calendar.

Step 6: Choose the Holiday
- Find or type the holiday you want to configure.
- For example, select Thanksgiving Day.
- The system will automatically recognize and populate the correct calendar date.

Step 7: Set Your Holiday Hours
- Define the start and end times for the holiday.
- Use the green plus (+) arrow to add multiple time blocks if needed.

Step 8: Configure Recurrence Options
- Select “Yearly on selected holiday” to make this time frame repeat automatically every year.
- You can also set an end date if the recurrence should stop after a specific year.

Step 9: Configure the Observed Holiday
- The Observed Holiday section helps manage holidays that fall on weekends.
- If your business operates Monday through Friday, use this section to define how weekend holidays are observed.
- If your company includes weekends in its workweek, select additional workdays by clicking the corresponding day icons.

Step 10: Choose How the System Handles Weekend Holidays
- Use the drop-down menu to select your preferred option:
  - Observe the holiday on the actual date.
  - Observe it on the prior workday.
  - Observe it on both the holiday and the nearest workday.
- This ensures your phone system adjusts automatically for holidays that shift dates each year.

Step 11: Save Your Settings
- Once you’ve configured all your options, click Save.
- Your Holiday Time Frame will now automatically apply each year, keeping your call routing accurate and consistent.
