Understanding Time Frames: TeleCloud Portal Quick Guide & Types

In this guide, you’ll learn what a time frame is, how to access and manage time frames in your TeleCloud portal, and the different types of time frames you can create.

What Is a Time Frame?
A time frame is a schedule that defines when certain features in your phone system are active.
It determines how calls are handled based on the date and time, for example:
- During business hours
- After hours
- Weekends
- Holidays
Time frames allow your TeleCloud system to automatically adjust its behavior, helping features like answering rules, call queues, and auto attendants route calls, play greetings, or send calls to voicemail, without manual changes.

To get started with Time Frames:

Step 1: Access Your Time Frames
- At the top of your screen in the TeleCloud portal, click on “Time Frames” in the main menu.
- You’ll see a list of all your existing time frames, including both Domain Level and User Level time frames.

Step 2: Understand the Two Levels of Time Frames
- Domain Level Time Frames:
  - Set by your system administrator.
  - Visible to all users but cannot be edited by individual users.
- User Level Time Frames:
  - Created and managed by you for your own extension.
  - Can be added, edited, or adjusted at any time.

Step 3: Create a New Time Frame
- Click “Add Time Frame” in the upper right-hand corner of the Time Frames page.
- A new window will open where you can:
- Name your time frame.
- Select the type of time frame you want to create.

Step 4: Review the Different Time Frame Types (Hover over the small info icon next to each time frame type in the portal for a short description of what it does.)
- Always: A “catch-all” schedule that applies whenever no other time frame is active.
- Days of the Week: A recurring schedule (e.g., Monday–Friday, 8 a.m.–5 p.m.).
- Specific Dates: For single or occasional events, such as a one-day closure or special schedule.
- Holidays: Automatically follows selected holidays and can repeat yearly based on your country’s calendar.
- Custom: The most flexible option, combines multiple time frame types into one for advanced scheduling needs.
